- USING "TASK MASTER" TO BECOME MORE PRODUCTIVE
-
- "Task Master" is a valuable time management tool. While there
- are a lot of scheduling programs that work with calendars, there
- are few that help you plan your priorities to help make the best
- use of your time. "Task Master" is easy to use for everything
- from the most basic tasks to complex projects.
-
- A key to effective time management and productivity is to work
- on important things along with the urgent tasks. If all your time
- is consumed by items on your appointment calendar, you may not be
- getting the important things done. Use "Task Master" to take
- control of what you need to do rather than those things
- controlling you. Keep track of, sort out, prioritize and plan
- what you will do.
-
- You can start to improve your effectiveness by using Task
- Master as a to-do list manager, listing the things you need to
- do. Add priorities, dates and sub-tasks later. When you are
- between apppointments, scan your list, work on the highest
- priority tasks that you can complete in the time you have. When
- you complete a task, hit Ctrl-D to indicate it is done. This will
- help give you a sense for the progress you are making.
-
- For complex tasks, start by listing the obvious main steps. Then
- go back and flesh out the details in sub-tasks. When you have
- entered some tasks with dates and some estimates of how long the
- tasks will take to complete, use the diagram view to see a time-
- line (Gantt chart). The width of the bars in the time-line will
- depend on the amount of time required to complete relative to how
- much time is left. The tasks requiring most effort, in the least
- time remaining will be broadest.
-
- You'll be amazed at the confidence you will feel knowing you
- have documented all the things you need to do and you have a
- prioritized plan to get all the work done.
-
-
- PRIORITIES
-
- There are two kinds of priorities maintained by "Task Master"
- -- A-B-C and numeric.
-
- Consider the ABC priority as the overall importance of the
- task or activity. Numeric priorities indicate which tasks need to
- be done first or the urgency. The default sort order lists ABC
- priority before the numeric priority.
-
- Time management wisdom says we should work on the "A"
- priorities first. If time permits, work on "B"s. Some go as far
- as to say that we should never work on the "C"s!
-
- "A" priorities are the activities we need to make time for.
- Consider them strategic, or crucial to achieving long-term goals.
- "B" priorities are important to short-term goals.
-
-
- 6
-
-
-
-
-
- The ABC priority field can be "A", "B", "C" or blank only.
-
- Numbered priorities are an indication of the order in which
- things should be done.
-
- You'll notice that if you use sub-tasks, the list will always
- be sorted with sub-tasks under the master task, regardless of the
- priority setting. If you want to list a sub-task separate from
- the master, either promote the sub-task, or make a copy of the sub-
- task as a master-task (both options are in the Tasks menu).
-
- Furthermore, if the auto calculation feature is active, only
- the master task ABC priority is displayed. If you enter an ABC
- priority in a sub-task, the master's priority will change to match
- the new setting.

- ENTERING INFORMATION
-
- In list mode, position the cursor on the screen wherever you
- want to put the information and type it in. You don't need to
- enter edit mode. Overwrite or insert (check the current setting
- on the bottom right corner of the screen) as displayed.
-
- To toggle from Insert Mode to Overwrite, and back, press the
- Insert key. In some fields, "Task Master" automatically switches
- to Overwrite Mode. When you leave that field, "Task Master" will
- return to the original mode.
-
- If you prefer a form for entering information, or you want to
- see all the information about a particular task, press F2 and a
- dialogue box will show all the current information. Again, position
- the cursor where you will, and type away. You can stay in this
- kind of form entry mode and move task to task by using the PgUp
- and PgDn keys.
-
- To add a new task to the list, just get to the end of the list
- and press the Down Arrow. You can use Ctrl-End to jump to the end
- of the list.
-
- You can move around the screen with the arrow keys and tab
- keys. The Arrow Keys move one character or line at time. The tab
- key skips to the next field and the Shft-Tab moves to the previous
- field.
-
- With the mouse, just position the mouse where you want the
- cursor and press the left button.
-
-
-
- WORKING WITH SUB-TASKS:
-
- There are several ways to add sub-tasks to a task, each works
- a little bit differently:
-
- - Ctrl-A makes a new sub-task immediately following the
- current task.
-
- - Ctrl-Down inserts a fresh sub-task in the current sub-
- task group.
-
- - Shft-Alt Right Arrow demotes the current task to be
- subordinate the one immediately above. This does not
- make a new task.
-
- You can promote a sub-task by pressing Shft-Alt Left Arrow.
- If there are other tasks in the sub group, the promoted task will
- be moved to immediately follow the current group of sub-tasks.
-
- If you delete a task which has sub-tasks, you'll have a
- choice, through a dialogue box, to delete the sub-tasks, or promote
- them.
-
-
-
- 9
-
-
-
-
- You can limit the level of sub-task to display. F5 will
- switch between displaying only master tasks and maximum level.
- Set the maximum display in the Options menu, General options
- (Alt-O, G).
